‘Wilfrid’s House’ (formerly WFCS) refers to the Wilfrid Faber Counselling and Support charity.

Wilfrid’s House is committed to complying with the terms of the General Data Protection Regulation (GDPR) and to the responsible and secure use of your personal data. Wilfrid’s House has a legitimate interest in processing personal data in order to provide counselling services. The purpose of this statement is to let you know what personal information Wilfrid’s House collects and holds, why we collect this data, how long it is kept and your rights over your personal data.

For the purpose of the Data Protection Act 2018 and the GDPR, the data controller is Wilfrid Counselling and Support, Oratory House, Knightsbridge, London SW7 2RP. For any questions relating to data protection and Faber House you can contact us via our online application form.

1. Information about you

Whether or not you become a client of our counselling service we’ll use your personal data for the purposes of initiating and clinically considering counselling for you. We collect the majority of this information when you return the online application form and when you have an assessment where we consider how best we can support you. If you do not proceed with our service your information will be erased. Once a client finishes counselling, all data regarding their counselling is securely stored for seven years and then destroyed.

2. Our use of this information

We collect this information to understand your clinical and other needs from counselling and how we can best provide support. We will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, if there is a child or adult safeguarding issue, or a perceived risk of harm. A breach of confidentiality is when a person shares information with another in circumstances where it is reasonable to expect that the information will be kept confidential. The lawful basis and purpose of holding this data is to ensure we can meet the terms for providing a contract for counselling with you. It is also to ensure good governance and for our own legitimate interests as a charity to ensure we meet the requirements of our mission. We will also use your personal data to meet any legal obligations placed upon us – for instance when you exercise your rights to see what data we hold under data protection law or in order to meet any legal compliance placed on us; or occasions where we may be obliged to disclose information related to safeguarding children, young people and adults at risk.

3. Security

We will take all reasonable precautions to prevent the loss, misuse or alteration of information you give us. Communications in connection with this service may be sent by email. For ease of use and compatibility, communications will not be sent in an encrypted form unless you require it and give us permission to communicate with you in that way. Email, unless encrypted, is not a fully secure means of communication. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects, we cannot bear responsibility for all communications being virus-free. We do not share your personal information with anyone else unless in pursuit of counselling on your behalf and only then if we have your permission to do so. In exceptional circumstances we may be required by law and our ethical responsibilities to break our confidentiality with you.

4. Your rights over your personal data and access to information

If you would like to see the information we hold about you, or would like to correct, update or delete any records, or have any concerns about our use of your data, please contact us using our online application form. We will do our utmost to resolve any concerns you have but if these are not resolved to your satisfaction, you may choose to contact the ICO. There is no charge to access this information and it will be provided to you within a reasonable amount of time, but this will not exceed a month in any event.
